The GN 125 Association keeps a members' register, issues receipts, and runs a small riding game on this website. To do that we hold some personal information about our members — including copies of driving licences and vehicle documents. We do not sell it, we do not use it for advertising, and you can ask us to delete it at any time.

1. Who we are

The GN 125 Association ("the Association", "we", "us") is a motorcycle riders' association in Sri Lanka. We are the people responsible for the information described in this policy.

2. What we collect

If you join as a member

• Your name, email address and phone number.
• Your membership status, and the reason if an application is not accepted.
• Membership fee receipts and invoice records.

If you upload your riding documents

Members can upload documents so the Association can confirm they are genuine GN 125 riders. Where you choose to do this, we hold:

• Photographs of your driving licence (front and back).
• Your vehicle registration document, insurance certificate and revenue licence.
• The details read from those documents, which can include your licence number, full name, NIC number, date of birth, address, dates of issue and expiry, authorised vehicle classes, blood group, and your motorcycle's registration number and details.

If you use the GN 125 Market

• The contact details you publish on a listing — phone, WhatsApp number, email and address.
• Listings are public, so treat anything you put on one as visible to everybody.

If you play the riding game

• The rider name and motorcycle number plate you type in.
• Your scores, distances and when you played.
• Your IP address, recorded with each run. We use it only to stop one person flooding the leaderboard with fake scores.
• Your name and plate appear on the public leaderboard. You do not have to use your real name to play.

Everyone who visits the site

• Cookies that keep you logged in and protect forms from misuse. These are necessary for the site to work; we use no advertising or tracking cookies.
• Your browser's own storage, used by the game to remember your language choice and whether you muted the sound. This stays on your device.
• Standard server logs, which include IP addresses and the pages requested.

3. Why we hold it

Information	Why we need it
Name, email, phone	To run the members' register, let you log in, and contact you about rides and Association business.
Licence and vehicle documents	To confirm that members are licensed riders with a genuine GN 125, and to meet the requirements of authorities when we organise a rally.
Invoices and payment records	To keep honest accounts of the Association's money and issue receipts.
Market listings	To publish the listing you asked us to publish.
Game scores and IP addresses	To show the leaderboard and keep the scores fair.

4. Who else sees it

We do not sell your information and we do not share it for advertising. It is seen by:

• Association committee members who administer the site.
• Anthropic, which reads uploaded documents as described above.
• Our hosting provider, which operates the server the website runs on.
• Google Fonts and Cloudflare, which supply the fonts and icons the pages use. Loading these tells them your IP address, as with any website.
• Government authorities, where we are legally required to provide rider information — for example the Police when applying for permission to hold a rally on public roads.

5. How long we keep it

• Membership records are kept for as long as you are a member, and for up to two years afterwards in case you rejoin.
• Financial records, including invoices, are kept for six years, as accounts normally must be.
• Uploaded documents are kept while your membership is active, and are deleted when you leave or when you ask.
• Game scores are kept indefinitely unless you ask us to remove them.

6. How we protect it

The website is served over an encrypted connection (HTTPS). Passwords are stored hashed, never in readable form. Uploaded documents and the administration area are restricted to committee members with staff accounts. No system is perfectly secure, but we will tell affected members promptly if we ever discover a breach.

7. Your choices, and deleting your data

You can ask us at any time to:

• Send you a copy of what we hold about you.
• Correct anything that is wrong.
• Delete your documents, your game scores, or your whole account.

Email gn125associationsl@gmail.com from the address you signed up with, or write to the postal address above, and say what you would like removed. We will deal with the request within 30 days and confirm by email once it is done.

To have a game entry removed, email us the rider name and number plate you used and we will delete the rider and their scores from the leaderboard.

Records we must keep by law, such as receipts for money received, will be retained even after an account is deleted.

8. Children

The Association is for licensed motorcycle riders, and this website is not intended for children under 16. If you believe a child has given us personal information, contact us and we will remove it.

9. Social media

We run a Facebook page, where we post photos and ride announcements. Anything you post publicly there is governed by Facebook's own privacy policy, not this one. This website does not currently offer login through Facebook; if we add it, we will update this policy first and say exactly what Facebook shares with us.

10. Changes to this policy

We may update this policy as the Association grows. The date at the top always shows the current version, and significant changes will be announced to members.

11. Questions or complaints

Contact us first at gn125associationsl@gmail.com and we will try to put things right. Sri Lanka's Personal Data Protection Act No. 9 of 2022 also gives you the right to complain to the Data Protection Authority of Sri Lanka.
